Roles and Responsibilities:

Event Manager

Are you passionate about planning and executing events end-to-end? Do you love engaging with partners and sponsors, coordinating with potential speakers and working alongside the social media and communication team? Then this role might be for you!

We are looking for a new Event Manager to join the Board of Women4Cyber who will ensure that our events throughout the year will be planned and executed smoothly.

Being the Event Manager in W4C DK can be a shared role, making it possible for you to go on vacation, and prioritize peak periods in your work life or personal life and it provides someone to bounce ideas off of

The Event Manager role requires you to allocate quite a bit of time, especially when we get close to the event date. Normally you (or someone you trust) should be present physically at the event, which may require that you get there early and leave later.

About the events

Women4Cyber Denmark is generally involved in quite a few events, where engagement on our part spans from online attendance over providing a speaker and “being there” to being the main host and organizer of the event.

Events are normally taking place between 17 and 20 in the afternoon/evening and preferably at a central location reachable by metro or 5-train. Normally more or everyone from the board participates in events to create visibility about both the board members as well as provide enough “network capacity for the networking part of the event.

Competences and task examples

Planning is an important part of the event management role and will involve meetings (often during work hours online) with sponsors or partners to make sure that everything is set and ready for the event. Planning normally circles around subjects such as:

  • Time and place
  • Theme and speakers
  • Program for the event.
  • Catering (food and drinks)
  • Possibly gifts/presents for speakers
  • Technical possibilities at the venue
  • SoMe planning to announce the event over several weeks.

Execution is where W4C DK has time to shine, and good execution is important to our reputation and attendees willingness to return and engage. Execution typically involve:

  • Setting up computer and have the right powerpoint for presentation
  • Bringing rall ups and business cards etc
  • Moving tables (if necessary) to provide a space suitable for the event theme an purpose
  • Making sure that food and drinks are displayed or will arrive in accordance with program
  • Making sure that attendees can get into the building and/or find the venue
  • Keep to the program and adjust time slots if needed

Time consumption

A normal event will take 6-9 hours in total including coordination and planning meetings. attendance and transport to the venue. Some events take less time as some venues prefer to provide practical help

Time estimates are not including other board activities including meetings with the board.

Accountant/Cashier and "DPO"

We are looking for a dedicated accountant to join our Board as a full member and play a key role in supporting our mission. W4C DK has sound economic figures, and you will take over a role as cashier in an association with a small, but healthy economy.

The DPO role

W4C DK process personal data from our members, and from our contacts at sponsors and partners. Albeit not enough to mandate a DPO, the cashier is also accountable for the oversight of secure personal data processing and for reporting breaches to DK authorities within the 72 hour timeline.

Women4Cyber DK does not process art. 9 and 10 data (sensitive personal data).

Competences and task examples

The cashier will be responsible for the following tasks:

  • Creating invoices for sponsors
  • Renewal invoices for continuing sponsorships
  • Paying bills related to events (eg restaurant bill etc)
  • Reimburse board members for expenses related to the W4C DK activities
  • Create a budget in the first month of the year (following calendar year)
  • Maintain books and financial statements end of year, including reporting/paying any due VAT to tax authorities in DK
  • Engage with the W4C DK Bank

Time consumption

It is vital that you thrive in excel sheets and that you are not scared of numbers. You must be able to set aside 2-5 hours per month for this role

Other information

It is a plus if you can read and write Danish as engagement with the bank and tax authorities are typically done in Danish

Templates for invoices, budget and books are already at your disposal, and we are willing to look into tools that could assist us provided that they have a free or cheap license for voluntary associations.

About collaboration with other board teams

You will have a close collaboration with the Sponsorship and Partnership manager as well as with the Event manager, as sponsors are our only source of income and hence timely invoicing of sponsors is a very vital part of our ability to operate. Events will generate expenses from time to time either through invoicing of services directly from hosting partner or through reimbursement of personal expenses from one or more board members.

Communication & Media Team Lead

Helped by the team, you will develop and execute our social media communication strategy that amplifies our mission and engages our audience effectively

Competences and task examples

  • Develop and implement social media strategies to increase brand awareness for Women4Cyber Denmark and drive engagement;
  • Create, curate, and manage all published content images, video, text) across all social platforms
  • Monitor social media trends, fools, and applications, and provide recommendations for optimization
  • Analyze data to track performance and optimize strategies to reach target audience
  • Engage with followers, respond to comments and messages in a timely manner
  • Stay up-to-date with best practices in social media marketing and implement new strategies as needed

Requirements

  • Previous experience, or demonstrated interest in social media and communication
  • Knowledge about the different channels we use (Linkedin, Instagram, Meetup)
  • Knowledge of social media analytics tools
  • Creative mindset with the ability to generate engaging content
  • Solid communication skills-both written and verbal
  • Ability to work independently as well as collaborate with team members

Time consumption

For this role you need to be able to commit to minimum 6 months 3-10 hours per week
